Getting started with Zoom Phone

Signing into the Zoom smartphone app

  • Download and install the Zoom Workplace app (formerly Zoom or Zoom Meeting) from the App Store (iOS) or Google Play (Android)
  • Launch the app and sign in using SSO




  • Enter the company domain (sierracanyonschool.org) and click "Continue" (first sign-in only).

  • Set Zoom Phone permissions for notifications and access to your smartphone contacts. 

NoteGranting permissions to your contacts allows numbers in your personal Contact app to appear in Zoom Phone when searching for a contact. It does not share your contact list with anyone.  If you select "Don't allow," only Sierra Canyon Zoom Phone users will appear.  You can change this setting later in Settings>Zoom>Contacts.



  • Set permissions to allow Zoom to add meetings to your Outlook calendar.  You can change this setting later in Settings>Zoom>Calendar



  • You are done!

The Zoom Phone section of the Zoom meeting app is a full-featured Voice over IP (VoIP) phone system that allows you to place and receive voice calls, send and receive SMS text messages, and centrally manage your voice mailbox. The instructions below assume that you have already installed the Zoom app on your smartphone.  If you have not done so, please complete the steps above.

Launch the Zoom mobile app and click the Phone icon at the bottom of the screen.

 

 

The illustration below shows the most commonly-used features of the phone app:

  • Keypad Used to place calls, access the directory, view direct number and extension, and change your Outbound Caller ID.
  • History  View inbound and outbound calls to your Zoom phone.
  • Voicemail Retrieve and manage voicemail messages.
  • SMS Read and compose text messages.

 

Keypad features

 

  • To place a call: Dial the desired number and press the blue handset icon.  No need to dial a prefix (9 or 1); simply dial the area code and number.
  • To lookup up a contact: 
    • Click the directory button.


    • Begin typing the name in the "Search in Contacts" field.  Matching contacts will appear as you type, along with their extension:

    • Click the desired contact to see more info:

  • Click "View Profile" to add this contact to your favorites


    • "Favorited contacts appear at the top of the directory:


  • To look up your extension and direct number

At the bottom of the keypad, you will see "Caller ID: (818) 882-8121."  This indicates your current outbound caller ID.  Click the down-arrow to the right to see your extension and direct number: 


  • To change your outbound caller ID to your direct number
    • Click the down-arrow to the right of your current Caller ID.
    • Click your direct number.
    • A checkmark appears to indicate that your direct number is now your caller ID. 




Note: Your new caller ID remains the default until you change it back!

  • Turn on Do Not Disturb (DND) - Timed span
    • Click the "More" at the bottom of the Zoom app for options.

    • Select your profile at the top of the screen.



  • On the "My Profile" page, click "Available"

    • Click "Do Not Disturb."
    • Choose a length of time to enable DND and click "Confirm."

 

    • You will return to the Status screen, and the remaining time for DND to be in effect will display.

    • To turn off DND, click "Do Not Disturb" from the Status screen, select "Turn Off," and click "Confirm."



 Turn on Do Not Disturb (DND) - Daily Recurring

    • On the "My Profile" page, click "Available."
    • Turn on "Schedule Daily Recurring."
    • Choose "From" and "End" times.
    • Click the "<" twice at the top of the screen, then select Phone from the bottom of the screen to return to the Phone app. 





  • Manage Voicemail
    • Click the Voicemail tab at the top of the Zoom app.
    • A list of your messages will appear.



    • Click a message to listen, delete, read the transcription, and more.



  • SMS messaging
    • Click the SMS tab at the top of the Zoom app.
    • A list of messages will appear. From this screen, you can read, search, and reply to existing messages and create and send new ones.
